A leading Canadian financial institution was looking to host their annual general meeting of shareholders. But with the social and health climate impeding on face-to-face meetings, a traditional in person event was not going to be an option. As a result, our client asked us to host the event virtually for the first time ever, but closely replicate how the event would be experienced in person – a daunting task for these unprecedented times.
ALIGNMENT & SOLUTION
In collaboration with Bond Brand Loyalty, our team embraced the challenge to find forward-thinking solutions to support this important event. To do this, we began exploring a variety of scenarios to ensure flawless execution and produce an engaging – and safe – experience for attendees.
REPLICATING REAL LIFE IN A VIRTUAL SETTING
Our client had two main locations to work and stream out of: a corporate office and the FMAV broadcast studio. As a result, a complex system was designed to bridge these locations with a redundant back up in case of any technical failure. This included a two-way audio communication and video transmission system.
On top of seamless communication, FMAV hosted a password-protected live stream to maximize security. Furthermore, the team put great emphasis on taking precaution to ensure the health and safety of team members and executives presenting from one of the remote locations. With environmental and government regulations changing frequently, our team had to be prepared to constantly adapt to social distancing norms.
The client was thrilled that the FMAV and Bond Brand Loyalty teams were able to provide a seamless and secure experience for their attendees. Meeting participants and C-Suite executives could view and hear the meeting from the comfort and safety of their home offices. Our client was at ease knowing that FMAV ensured social distancing onsite with minimal front-line staff executing their event.
